Outside Inn Campground, LLC (“we,” “us,” or “our”) is committed to protecting the privacy of our guests and website visitors. This Privacy Policy explains what personal information we collect, how we collect it, how we use and share it, and what rights you have regarding your information.

By using our website (outsideinncampground.com) or making a reservation, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use our website or services. 1. Information we collect

Information you provide directly

When you make a reservation, submit an inquiry, or sign up for our newsletter, we may collect:

  • Full name
  • Email address
  • Phone number
  • Mailing address
  • Payment information (processed securely through Newbook; see Section 5)
  • Any additional information you choose to provide in correspondence or registration forms

Information collected automatically

When you visit our website, certain information is collected automatically through cookies and third-party tracking tools. This may include:

  • IP address and general geographic location
  • Browser type and version
  • Pages visited, time on site, and referring URLs
  • Device type and operating system
  • Interactions with our website content and advertisements

This information is collected through Google Analytics, Google Ads, and the Meta (Facebook) Pixel. See Section 4 for details on these tools and how to opt out.

Information collected at the campground

We may collect personal information during in-person registration at check-in, including your name, vehicle information, and the number of guests in your party.

2. How we use your information

We use the personal information we collect for the following purposes:

  • Reservations & operations: To process, confirm, and manage your campground reservations and communicate with you about your stay.
  • Customer service: To respond to your questions, requests, or concerns.
  • Marketing & communications: With your consent, to send you promotional emails, newsletters, seasonal updates, and information about our services. You may opt out at any time (see Section 7).
  • Advertising: To deliver and measure the performance of targeted advertisements through Google Ads and Meta (Facebook/Instagram) ad platforms, based on your website activity.
  • Analytics & improvement: To understand how visitors use our website so we can improve our content and user experience.
  • Legal & safety: To comply with applicable law, enforce our Terms and Conditions, and protect the rights and safety of our guests, staff, and property.

3. Legal basis for processing

We process your personal information on the following grounds:

  • Contract performance: Processing necessary to fulfill your reservation and provide campground services.
  • Consent: Where you have opted in to marketing communications or agreed to cookie-based tracking.
  • Legitimate interests: Analytics and advertising activities that help us operate and improve our business, balanced against your privacy rights.
  • Legal obligation: Where we are required to process or retain data under applicable law.

4. Cookies & tracking technologies

We use cookies and similar tracking technologies on our website. Cookies are small text files placed on your device that help us and third parties recognize your browser and remember certain information.

Google Analytics & Google Ads

We use Google Analytics to collect data about how visitors use our website, including pages visited, session duration, and traffic sources. We also use Google Ads to run and measure paid advertising campaigns. Google may use this data in accordance with its own privacy policy, available at policies.google.com/privacy.

Meta (Facebook) Pixel

We use the Meta Pixel to track visitor interactions on our website and deliver relevant advertisements on Facebook and Instagram. The Meta Pixel may collect information about your browser, device, and actions taken on our site. This data is processed by Meta Platforms, Inc. in accordance with Meta’s Data Policy, available at facebook.com/privacy/policy.

Email marketing

We use a third-party email marketing platform (such as Mailchimp) to manage our newsletter and promotional communications. When you subscribe, your name and email address are stored with this platform and used solely to deliver communications from Outside Inn Campground. We do not sell your email data. You may unsubscribe at any time using the link provided in any email we send.

SMS marketing

We will not share or sell subscriber information with third parties for their direct marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties. By selecting the checkbox on the bookings checkout page, guests agree to receive marketing SMS.

5. How we share your information

We do not sell your personal information. We may share your information only in the following circumstances:

Newbook (reservation platform)

We use Newbook to manage reservations and process payments. When you book through our website or directly via Newbook, your reservation and payment data is handled by Newbook in accordance with their privacy policy. Newbook is contractually obligated to protect your information and may not use it for their own marketing purposes.

Payment processors

Payment card information is processed through Newbook’s integrated payment system using industry-standard encryption (TLS/SSL). Outside Inn Campground, LLC does not store full payment card numbers on our own systems.

Google & Meta

As described in Section 4, website usage data is shared with Google and Meta through their respective tracking tools for analytics and advertising purposes.

Email marketing platform

Subscriber names and email addresses are shared with our email marketing platform for the sole purpose of delivering communications you have opted into.

Legal requirements

We may disclose personal information if required to do so by law, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect our rights, your safety, or the safety of others.

Business transfers

In the event of a merger, acquisition, or sale of all or part of our business, personal information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website if such a transfer materially changes how your data is used.

6. International data transfers

Outside Inn Campground, LLC operates in the United States and collects information from guests located in the United States. We do not intentionally transfer personal information to other countries. However, some of our third-party service providers (including Google and Meta) may process data on servers located outside the United States. By using our website, you acknowledge that your information may be processed in countries with different data protection laws than your own.

7. Data retention

We retain personal information for as long as reasonably necessary to fulfill the purposes outlined in this Privacy Policy, including:

  • Reservation records: Retained for a minimum of seven (7) years to comply with applicable tax, accounting, and legal obligations.
  • Marketing communications: Retained until you unsubscribe or request deletion.
  • Website analytics data: Retained per the default retention settings of Google Analytics (typically 26 months) unless adjusted.
  • General inquiries and correspondence: Retained for up to three (3) years.

You may request deletion of your personal information at any time (see Section 8). We will honor deletion requests to the extent permitted by applicable law and our legitimate recordkeeping obligations.

8. Your rights & choices

Depending on your location and applicable law, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request that inaccurate or incomplete information be corrected.
  • Deletion: Request that we delete your personal information, subject to our legal retention obligations.
  • Opt-out of marketing: Unsubscribe from marketing emails at any time using the unsubscribe link in any email, or by contacting us directly.
  • Opt-out of tracking: Manage cookie and ad tracking preferences as described in Section 4.
  • Data portability: Request a portable copy of your data in a commonly used format, where technically feasible.

9. Children’s privacy

Our website and services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Reservations and online accounts may only be created by individuals who are at least 21 years of age. If we become aware that we have inadvertently collected personal information from a child under 13, we will delete it promptly. 10. Security

We take reasonable technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include:

  • Password-protected access to our CRM and internal systems.
  • Industry-standard TLS/SSL encryption for data transmitted through our website and reservation platform.
  • Payment data processed through Newbook’s PCI-compliant payment infrastructure; full card numbers are not stored by Outside Inn Campground, LLC.
  • Access to personal information limited to staff members who require it to perform their job functions.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you have reason to believe your interaction with us is no longer secure, please contact us immediately.

11. Third-party links

Our website may contain links to third-party websites, including Newbook, social media platforms, and other resources. This Privacy Policy applies only to Outside Inn Campground’s website and does not govern the privacy practices of any third-party site. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or applicable law. When we make material changes, we will update the “Last updated” date at the top of this document and, where appropriate, notify you by email or by posting a notice on our website.
